The releases have rough time frames in which they are planned to go live, but precise dates depend on a lot of moving parts and we do not want to mislead you.

Q2 2025

1. Introducing START Plan

2. cDocs: Secure Document Collaboration with Full Data Sovereignty

In partnership with Collabora, Circularo is introducing cDocs - a secure, integrated document editing and collaboration solution designed for organisations that value privacy, control, and compliance.

With cDocs, users can create, edit, and collaborate on documents directly within Circularo, powered by the robust capabilities of Collabora Online. This integration supports both cloud and on-premise deployment, enabling organisations to retain full control over their data and meet local data residency and regulatory requirements with confidence.

Whether you're working with sensitive internal content or regulated documentation, cDocs delivers a modern editing experience without compromising on security or compliance.

Availability: cDocs is offered as a paid, user-based add-on for all users on the Circularo Ultimate Plan.

3. New User Role: “Controller”

A new Controller role will be introduced in the system with specific permissions related to document visibility, ownership transfer, and administrative control.

Key Capabilities
  • Access all documents and their metadata via Reports (without viewing document content).

  • Reassign document ownership via Reports.

Administration & Role Assignment
  • Users can be assigned the Controller role via the Administration panel.

  • Only Organization Admins can assign or revoke this role.

  • Controllers inherit the Document Control permission.

  • A setting should define whether a Controller can assign document ownership to themselves through the Administration dashboard.

4. Document Ownership Transfer for Improved Continuity & Control

We’re introducing a powerful new feature that allows users to seamlessly transfer document ownership, ensuring business continuity and uninterrupted workflows - even when the original document owner is unavailable.

Whether due to role changes, team restructuring, or simply to reassign responsibilities, ownership transfer enables teams to stay agile and responsive. With just a few clicks, documents can be reassigned to the right person, maintaining momentum across projects and minimising administrative delays.

  • Ensures Business Continuity: Keep workflows moving even when the original creator is unavailable, on leave, or has left the organisation.

  • Streamlines Delegation: Reassign document responsibilities quickly and securely to the appropriate team members.

  • Improves Resource Management: Empower teams to redistribute workloads and optimise document portfolios with ease.

  • Enhances Control & Transparency: Maintain a clear chain of ownership and accountability across all document workflows.

Whether used by administrators for bulk reassignment or by individuals managing shared responsibilities, document ownership transfer is a critical tool for keeping teams aligned and business operations running smoothly.

5. SMTP Configuration Without Authentication

Currently, configuring SMTP in the application requires authentication credentials. This update introduces the option to set up SMTP without authentication, providing greater flexibility for environments where authentication is not needed.

Authentication Options
  • None - SMTP can be configured without authentication.

  • User/Pass - Traditional username and password-based authentication remains available.

  • OAuth2 - OAuth-based authentication continues to be supported.

6. Ability to Rename, Reorder and Delete Documents in Multi-Document Transactions

When adding new documents to a Document Transaction users will be able to rename or modify them. Editing is only possible when merging multiple documents into a single file.

This request aims to enhance the document transaction editing experience by allowing users to:

  • Rename newly added documents within the transaction.

  • Change the order of documents before finalizing the signing process.

  • Remove the document from the transaction.

These improvements would provide greater flexibility and control when managing multiple documents in a single transaction.

7. Seamless Mobile Access with QR Code Login

We’re making it even easier to access Circularo on the go.

With our latest update, users can now log in to Circularo using third-party mobile apps that support QR code authentication - enabling a faster, more secure, and hassle-free login experience. Whether you're using a national identity app, an enterprise authentication service, or a secure mobile wallet, connecting to Circularo is now as simple as scanning a QR code.

No more typing passwords or juggling credentials - just scan and sign in instantly from your trusted mobile app. This new integration is especially helpful for users in regions where digital identity apps are widely used, offering a frictionless bridge between local authentication methods and Circularo’s secure platform.

It’s convenience and security, beautifully combined - so you can stay productive wherever work takes you.

8. Better Support for High-Volume Signatories with Enhanced Color Differentiation

Managing documents with a large number of signatories just got a major usability upgrade.

To make complex workflows easier to navigate, we’ve dramatically expanded the range of available colors for user avatars and signing fields in Circularo - from 15 to 29 distinct, high-contrast colors. This enhancement was designed with clarity, accessibility, and efficiency in mind, especially for scenarios involving many participants.

With more visually distinct colors, it’s now significantly easier to identify and differentiate individual users at a glance, even in multi-step signing processes involving 15+ signatories. The result? Less visual clutter, faster recognition, and a smoother document experience from start to finish.

  • Expanded Color Palette: Avatars and signing fields now draw from 29 unique colors, offering better distinction and visual harmony.

  • Improved Accessibility: 20 of the new colors meet WCAG AA contrast standards, supporting users with diverse visual needs.

  • Consistent Styling: Signing fields are now color-matched with avatars using a 30% opacity for a softer, professional look.

  • Predictable Color Assignment: Colors follow a predefined sequence for better consistency across sessions.

  • Refreshed Avatar Display: A modernized UI displays avatars in compact overlapping groups, improving space usage while keeping the interface clean - even when working with large teams.

Whether you're managing internal approvals or coordinating signatures from a dozen external stakeholders, this update ensures a clearer, more efficient signing experience for everyone involved.

9. Advanced Metadata Access for Controllers & Administrators

With this update, authorized users can now access full document metadata across the system, allowing them to recognize, manage, and take informed actions on documents without needing to open or view their content. This ensures better oversight, more accurate reporting, and efficient document governance, especially in sensitive or highly regulated environments.

Key Benefits:
  • Full Metadata Visibility: Instantly view document details like category, size, number of pages, status, workflow position, delegation, sharing, and more.

  • Improved Oversight & Reporting: Enable data-driven decisions and comprehensive reports, regardless of document access restrictions.

  • Smarter Document Management: Easily identify, organize, and manage documents across teams without breaching confidentiality.

  • Granular Control: Allows authorized users to take key actions - such as changing ownership - based on metadata insights, even without content-level access.

This feature bridges the gap between control and confidentiality - delivering the access administrators need without compromising document privacy.

10. Organization Stamps

This feature introduces a structured system for managing and applying Organization Stamps, ensuring controlled access and usage.

Key Capabilities
  • Admin Control & Permissions - Administrators can define who can create, manage, and apply organization stamps, ensuring only authorized users have access.

  • Signing Process Validation - The system will enforce stamp permissions during signing, ensuring users can only apply authorized stamps with automatic validation.

11. Filters and Sorting with Contextual Search

To improve search efficiency, filtering and sorting options will be introduced across all search functionalities within the application. Users will be able to filter and sort document lists in their inboxes and folders, enabling them to quickly find the documents they need with greater precision and ease.

12. Other

In addition to the features outlined above, this release also includes a variety of performance enhancements aimed at improving the overall efficiency and responsiveness of the platform. These improvements will optimize system operations, ensuring a smoother and more seamless user experience. Furthermore, the release addresses several integration updates, ensuring that Circularo works even more effectively with external systems and tools. Alongside these upgrades, we've included hotfixes to resolve any critical issues and minor updates to refine existing functionalities, ensuring everything continues to run smoothly and as expected.

Q3 2025

The list of features planned for this release is indicative and subject to change as priorities evolve and the platform continues to develop. Some features may be enhanced, adjusted, or postponed based on new requirements and unforeseen factors. We recommend checking this list monthly to stay up to date with any updates or changes.

1. Advanced Reporting and Actionable Real-Time Insights

This set of features introduces preconfigured tabular reports with advanced filtering, search, and XLS export, along with the ability to drill down or click for deeper insights. The goal is to enhance report management by allowing users to view document data in specific views without accessing the full content, ensuring they can identify documents and determine appropriate next steps without breaching confidentiality.

Enhancements include the ability for users to save default filter fields for a more personalized experience, subscribe to reports for automated updates, and improve the placement of the 'Settings' icon by considering its relocation to the top of the table. Users will also gain the ability to specify column formatting, apply global filters through a widget and shared parameters, and utilize quick filters for a more refined reporting experience. The dashboard and query definitions will be refactored to improve usability, with added options to define filter parameters within dashboard settings. Additionally, documentation and existing definitions will be updated to reflect these improvements. Clickable statistics will provide more interactive insights, and new user permissions will be introduced to ensure the right level of access to reporting features.

2. Enhanced Attachment Management

To make document workflows more flexible and efficient, signatories can now add attachments directly during the signing process. Whether it's a scanned ID, supporting documentation, or additional references, these attachments will be securely bundled into the final signed document, creating a comprehensive and tamper-proof record.

This enhancement eliminates the need for separate email exchanges or manual follow-ups, ensuring that all relevant materials are submitted at the point of signing - in one place, at the right time.

We’re making the commenting experience in Circularo more powerful and intuitive to support clearer, more collaborative communication across your document workflows.

With this update, comments will now support threaded discussions, allowing users to reply directly within comment threads and keep conversations organized. In addition, rich text formatting and emoji support will enable users to express ideas more clearly, highlight key points, and add a more personal, human touch to feedback and collaboration.

These enhancements make it easier than ever to track feedback, resolve issues, and align teams - all within the context of your documents.

4. AI-Powered Smart Document Summaries

We’re introducing AI-driven document summarisation - a powerful tool that helps users quickly grasp the key points of any document without reading it in full. Whether you're working with lengthy contracts, internal reports, or external communications, this feature generates context-aware, concise summaries tailored to your specific needs.

Designed to boost productivity and streamline collaboration, AI Summarisation supports multiple summarisation styles and depths - ranging from brief overviews to detailed key point breakdowns - so you can focus on what matters most, faster.

This triple-labelling system helps organizations take control of their document governance by ensuring sensitive data is consistently identified, categorized, and protected - right from the start. Whether you're managing internal documentation, customer contracts, or regulated records, Smart Labels enhances compliance, security, and workflow automation across the board.

Already available on our website, it can now be seamlessly accessed within the Circularo interface, making support more intuitive and accessible than ever.

Now available as an optional add-on, the Starcos 3.7 DI NFC smart card enables eIDAS-certified qualified electronic signatures (QES) directly within Circularo.

Certified as a Qualified Signature Creation Device (QSCD), this smart card ensures that every signature meets the highest legal and cryptographic standards across the EU - perfect for those who require maximum trust and regulatory compliance.

Designed for both desktop and mobile use, it integrates seamlessly into existing approval and signing workflows.
